Reading Documents

A short tutorial on how to retrieve documents from Sharepoint for read-only access.

The following tutorial illustrates how to download a document from Sharepoint. This tutorial assumes that no edits are being made to the document, and that the user is simply retrieving a local copy of the document for reading purposes. If you are tasked with making edits to a document, please visit the tutorial "Editing Documents."

Once you have navigated to the appropriate document library (Instructions in the previous step), hover over the directory you want to access and it will be highlighted by a blue bar. Click on the directory name. In case below, the directory name is "Admissions.":

Directory Hover

Once within the directory, click on the link of the document you'd like to download. In the example below, the document name is:"MS-1 and MS-2.":

Document Link

This will prompt you to download the document. You will get the following dialogue box. Make sure that "Read Only" is selected, then click "OK."

Read Only Dialogue Box
That will then open MS Word, and you will be asked to login once again to Sharepoint. This is to let MS Word check that you have permission to read the document, and is what will happen whenever you retrieve a document from the UVa Sharepoint environment. Enter your eservices credentials (as outlined in the previous tutorial):

Eservices login to MS Word

You will now be viewing the document for reading. You will notice that MS Word may give you an option to enable editing in a yellow bar at the top. Ignore this prompt. To remove it, simply click the "x" in the right hand side of the bar.

Enable Editing Bar

That's it!
